Dashboard Widgets

The moment you log into the Clokio admin dashboard, you see a set of widgets that give you an instant snapshot of your organization's attendance status for today. These numbers update in real time throughout the day.

Available Widgets

Total Employees

The total number of active employees in your organization. Click to see the full employee list.

Present Today

Employees who have clocked in today. Click to see who is currently on site.

Absent Today

Employees who have not clocked in and do not have approved leave. Click for the absence breakdown.

On Leave Today

Employees on approved leave. Click to see leave type details for each person.

Late Arrivals Today

Employees who clocked in after their shift's scheduled start time. Click to see the details.

Avg. Working Hours

The average total working hours across all employees for the current week.

Tip

Every widget is clickable. Clicking on "Late Arrivals Today", for example, takes you directly to a filtered view showing only those employees, saving you from having to search manually.

Attendance Reports

When you need to go beyond the dashboard snapshot and dig into the details, Clokio's attendance reports have you covered. You can generate reports at different levels of detail and filter them to show exactly the data you need.

Report Types

Daily Report

Shows every employee's attendance for a specific date. For each person you see: clock-in time, clock-out time, total hours worked, break time taken, overtime hours, and attendance status (present, absent, late, on leave).

Best for: Checking yesterday's attendance or verifying a specific day.

Employee Report

Focuses on a single employee's attendance over a date range you choose. See every day at a glance -- including patterns like frequent late arrivals or consistent early departures.

Best for: Performance reviews, one-on-one meetings, or investigating attendance concerns.

Department Report

View attendance data grouped by department. Compare how different teams are performing in terms of punctuality, hours worked, and absence rates.

Best for: Department heads who want to track their team's attendance trends.

Filtering Options

All reports support powerful filters so you only see the data that matters:

  • Date Range: Select any start and end date.
  • Department: Filter by one or more departments.
  • Location: Focus on a specific work location or all locations.
  • Shift: View only employees on a particular shift.

What Each Report Row Shows

Regardless of the report type, each entry includes:

Note

All times in reports are displayed in the employee's configured timezone. If your organization spans multiple time zones, each employee's entries reflect their local time.

Exporting Data

Need to send attendance data to your payroll provider or keep offline records? Clokio lets you export any report as a CSV or Excel file with just a few clicks.

How to Export

    Generate Your Report

    Go to Reports, select the report type, date range, and any filters you need.

    Choose Which Data to Include

    Optionally narrow down by specific employees or departments. The export will include only what is currently displayed in the report.

    Click "Export"

    Choose your preferred format (CSV or Excel) and the file downloads immediately.

What the Export File Contains

The downloaded file includes the following columns for each attendance record:

Tip

If your payroll software accepts CSV imports, set up a monthly routine: on the first business day of each month, export the previous month's data and import it directly into your payroll system. This eliminates manual data entry and reduces errors.

Monthly Summary

The Monthly Summary gives you a bird's-eye view of the entire month for every employee. It is the go-to report for end-of-month reviews, payroll preparation, and spotting attendance trends.

What the Summary Includes

For each employee, the monthly summary shows:

Leave Days UsedApproved leave days during the month, broken down by leave type

Late ArrivalsNumber of days the employee arrived after the scheduled start time

Comparing Against Expected Days

One of the most useful aspects of the monthly summary is the comparison between expected working days and actual days present + leave days. If these numbers do not add up, it means the employee has unaccounted absences that may need follow-up.

Printing the Summary

The monthly summary is designed for easy printing. Click the Print button at the top of the summary page to get a clean, formatted printout with your company logo and the selected month. Many businesses keep printed summaries as part of their HR records.

Note

The monthly summary is also available for export as CSV/Excel. Combined with the leave balance summary, these two exports give your payroll department everything they need for end-of-month processing.

Tip

Compare monthly summaries across several months to identify trends. Is overtime going up? Are certain departments showing higher absence rates? These insights help you make informed staffing decisions before issues become serious.
