Mobile App Guide

The Clokio mobile app is how employees interact with the system every day -- clocking in, requesting leave, and checking their attendance history. This guide walks through everything from installation to daily use.

Install & Setup

The Clokio app is available for both iOS and Android. Employees typically receive an invitation from their admin, which includes the organization code they will need during setup.

Step-by-Step Installation

    Download the App

    Search for "Clokio" on the Apple App Store (iOS) or Google Play Store (Android), and install the app.

    Enter Your Organization Code

    When the app opens for the first time, you will be prompted to enter your organization code. This is a unique code provided by your admin (it looks like "ORG-XXXX"). It connects the app to your company's Clokio account.

    Log In with Your Credentials

    Enter the username and password your admin created for you, or use the credentials from your invitation email.

    Grant Location Permission

    The app will request access to your device's location. This is required for GPS geofencing -- the system verifies you are at your assigned work location when you clock in. Select "Allow While Using App".

    Grant Camera Permission

    If your organization uses biometric face verification, the app will also request camera access. This allows the app to take a quick selfie during clock-in for identity verification.

Tip

If you are an admin setting up employees, consider sending the invitation email with the organization code before employees arrive. This way they can install and configure the app at home, and be ready to clock in on their first day.

Important

If location permissions are denied, the employee will not be able to clock in. Make sure all employees understand why location access is needed -- it is solely for verifying they are at their assigned work location.

Clocking In via the App

Clocking in is the action employees perform at the start of their workday. The process is designed to be fast -- most employees complete it in under 10 seconds.

How It Works

    Open the App

    The main screen shows a large Clock In button in the center. Your current status is displayed at the top (e.g., "Not clocked in").

    Tap the Clock In Button

    The app immediately checks your GPS location against your assigned work location's geofence boundary.

    GPS Verification

    If you are within the geofence boundary, the location check passes. If you are outside the boundary, the app will show an error explaining you are not at your work location.

    Biometric Verification (if enabled)

    If your admin has enabled face verification, the front camera activates and you take a quick selfie. The system verifies your identity in real time.

    Confirmation

    On success, the screen shows a confirmation with your exact clock-in timestamp. The status indicator turns green, meaning you are now clocked in. The button changes to "Clock Out" for when you are ready to leave.

Note

Clocking out follows the same process -- tap the "Clock Out" button, pass the GPS check, and you are done. Breaks work similarly with "Start Break" and "End Break" buttons.

Tip

Encourage employees to clock in as soon as they arrive at the work location. The timestamp is recorded the moment they tap the button, so there is no advantage to waiting.

Requesting Leave

Employees can request time off directly from the mobile app without needing to email or call their manager. The process is quick, and you can track the status of your request in real time.

How to Submit a Leave Request

    Go to the Leave Tab

    Tap the Leave icon in the bottom navigation bar.

    Tap "New Request"

    This opens the leave request form.

    Choose Leave Type

    Select from the dropdown -- options include Vacation, Sick Leave, Personal Day, and any custom types your admin has configured.

    Select Dates

    Pick the start and end dates using the date picker. For a single day off, select the same date for both.

    Add Reason and Attachments

    Write a brief note explaining why you need the time off. You can optionally attach a photo or document (useful for sick leave -- attach a doctor's note).

    Submit and Track

    Tap Submit. Your request appears in the leave list with a "Pending" badge. Once your admin reviews it, the status changes to "Approved" or "Rejected", and you receive a push notification.

Tip

Submit leave requests as far in advance as possible. This gives your admin time to review scheduling and ensures you get a response before your planned time off.

Viewing Attendance History

The History tab in the mobile app gives employees a complete record of their attendance. It is a personal dashboard that shows when you clocked in, how many hours you worked, and your overall attendance record at a glance.

Calendar View

At the top of the History tab, you see a monthly calendar with color-coded indicators for each day:

Daily Details

Tap on any date in the calendar to see the full details for that day:

  • Clock-In Time: The exact time you clocked in.
  • Clock-Out Time: The exact time you clocked out.
  • Break Time: Total break duration during the day.
  • Total Hours: Net working hours (clock-in to clock-out minus breaks).
  • Status: Present, Late, Partial Day, or On Leave.

Monthly Summary at the Top

Above the calendar, a summary bar shows your key stats for the selected month: total days present, total days absent, total hours worked, and leave days used. Swipe left or right to navigate between months.

Note

All times displayed in the app are in your local timezone, even if your organization operates across multiple time zones. This ensures you always see your actual clock-in and clock-out times.

Push Notifications

Clokio uses push notifications to keep employees and admins informed about important attendance events. Notifications are delivered in real time, even when the app is not open.

Clock-In / Clock-Out Confirmations

Receive a confirmation notification each time you successfully clock in or out, including the exact timestamp.

Leave Request Updates

Get notified when your leave request is approved or rejected by the admin.

Shift Change Notifications

If your admin changes your assigned shift, you will be notified with the new schedule details.

Reminders

Forgot to clock out? The app sends a reminder if you are still marked as "clocked in" after your shift's scheduled end time.

New Leave Requests

Get notified the moment an employee submits a leave request so you can review it promptly.

Anomaly Alerts

Receive alerts for attendance anomalies such as late arrivals, missed clock-outs, or clock-ins from unexpected locations.

Daily Summary

At the end of each work day, receive a summary of overall attendance: total present, absent, late arrivals, and any unresolved issues.

Tip

Make sure push notifications are enabled in your phone's settings for the Clokio app. Without notifications enabled, you will miss important reminders like the "forgot to clock out" alert.
