Getting Started with Clokio

Welcome to Clokio. This guide walks you through creating your account, understanding the admin dashboard, and completing the essential setup steps to begin tracking your team's attendance.

Create Your Account

Setting up your Clokio account takes just a couple of minutes. You will register as the organization administrator, which means you will have full control over all settings, employees, and attendance data from day one.

Step-by-step registration

    Navigate to the registration page. Open your browser and go to app.clokio.io/auth/register. You will see the Clokio sign-up form.

    Enter your personal details. Fill in your full name and email address. This email will be your admin login and the address where important notifications are sent (such as leave requests and attendance anomalies).

    Enter your company details. Provide your organization name and choose a unique organization code. The organization code is a short identifier (for example, acme-corp) that your employees will use when logging into the mobile app.

    Set a strong password. Choose a password with at least 8 characters. We recommend using a mix of uppercase letters, lowercase letters, numbers, and symbols for maximum security.

    Submit and verify. Click the Sign Up button. You will be taken directly to your new admin dashboard. A verification email may be sent to confirm your email address.

What happens after registration?

Once your account is created, Clokio automatically sets up your organization workspace. You become the primary administrator with the ability to:

  • Add and manage employees across departments and positions
  • Configure work locations with GPS geofencing boundaries
  • Create shifts and assign schedules to your team
  • View real-time attendance data, reports, and analytics
  • Approve or reject leave requests submitted by employees

Dashboard Overview

The Clokio admin dashboard is your central command center. After signing in, this is the first page you see. It gives you an instant snapshot of your organization's attendance status, recent activity, and quick shortcuts to common tasks.

Sidebar navigation

On the left side of the screen (or accessible via the hamburger menu on mobile), you will find the main navigation sidebar. It is organized into logical sections:

  • Dashboard -- The main overview page with stats cards and recent activity
  • Employees -- Manage your team members, view profiles, and add new employees
  • Attendance -- Daily attendance view, full attendance history, and anomaly reports
  • Leaves -- View and manage leave requests, set leave policies and balances
  • Locations -- Set up physical work locations and geofencing perimeters
  • Shifts -- Create and manage work shifts, assign employees to schedules
  • Settings -- Organization settings, departments, positions, system preferences, and API keys

Quick stats cards

At the top of the dashboard, you will see four summary cards that update in real time throughout the day. These give you an immediate sense of how things are going:

Total Employees

The total number of active employees registered in your organization. This helps you track your team size at a glance.

Present Today

How many employees have clocked in today. Compare this against total employees to gauge attendance rates instantly.

On Leave

The number of employees currently on approved leave (vacation, sick, personal, etc.). Useful for planning daily workload.

Late Arrivals

Employees who clocked in after their scheduled start time today. Helps identify punctuality trends that may need attention.

Recent activity feed

Below the stats cards, the dashboard displays a real-time activity feed showing the latest events across your organization. This includes:

  • Employee clock-ins and clock-outs with timestamps and location
  • Break starts and ends
  • New leave requests awaiting your approval
  • Attendance anomalies such as missed clock-outs or out-of-geofence attempts

Each activity entry shows the employee's name, the action performed, the time it occurred, and (where applicable) the location. You can click on any entry to see more details or navigate directly to the relevant attendance record.

Quick actions

The dashboard also provides quick action buttons for tasks you will perform frequently. These let you jump straight into common workflows without navigating through menus:

  • Add Employee -- Open the new employee form directly from the dashboard
  • View Today's Attendance -- Jump to the daily attendance overview for today
  • Pending Leaves -- Review and approve/reject leave requests that are waiting

Quick Setup Checklist

Follow these eight steps to have your organization fully configured and ready for attendance tracking. You can complete them in order, or jump around depending on what is most pressing for your team. We recommend doing them in sequence for the smoothest setup experience.

lightbulb You can always come back and adjust settings later. Nothing is permanent -- every configuration in Clokio can be updated at any time without affecting your existing attendance data.

    Complete your company profile

    Go to Settings and fill in your company name, upload your logo, set your timezone, and add contact information. Your timezone is especially important because Clokio uses it to calculate attendance timestamps, shift start/end times, and report dates. See the Company Profile section for details.

    Add departments and positions

    Create the organizational structure that reflects your company. Add departments (like Engineering, Marketing, Operations) and positions within them (like Manager, Developer, Analyst). This helps you filter attendance reports and organize employees. See Departments & Positions.

    Set working days and hours

    Define which days of the week your organization operates and the expected working hours. This differs by region -- for example, Sunday through Thursday is common in Israel, while Monday through Friday is standard elsewhere. Clokio uses this to determine expected attendance and flag absences. See Working Days & Hours.

    Add work locations with geofencing

    Set up every physical location where your employees work. For each location, define a GPS geofence -- a virtual boundary around the workplace. When employees clock in, Clokio verifies they are within this boundary. This prevents clock-ins from unauthorized locations. See Locations & Geofencing.

    Create shifts

    Define the work shifts your organization uses. A shift includes start and end times for each working day. You might have a single standard shift (e.g., 9:00 AM to 5:00 PM) or multiple shifts for different teams (morning, afternoon, night). See Shifts & Scheduling.

    Add employees

    Add your team members one by one or use the bulk CSV import feature. For each employee, you will provide their name, email, employee ID (NIP), department, position, and shift assignment. Each employee will receive an invitation to download and set up the Clokio mobile app. See Adding Employees.

    Install the mobile app

    Have your employees download the Clokio app from the App Store or Google Play. To sign in, they will need their email, password, and your organization code. The app is where employees clock in and out, request leaves, and view their attendance history.

    Start tracking attendance

    That is it -- you are ready to go. Once your employees sign in to the mobile app, they can start clocking in and out. All attendance data flows in real time to your admin dashboard. You will see entries appear on the daily attendance page and your dashboard stats will begin populating immediately.
