Attendance is the heart of Clokio. Employees clock in and out from the mobile app, the system verifies where and when it happened, and administrators get a live picture of who is working right now. This guide walks through the full attendance flow, from the first clock-in to resolving anomalies, so both employees and admins know exactly what to expect.

How Clocking In and Out Works

Employees track attendance from the Clokio mobile app on iOS or Android. The daily flow is simple:

  1. Open the Clokio app and sign in with the credentials your admin created for you.
  2. Tap the clock-in button when you start your workday.
  3. Use the break buttons to start and end breaks during the day.
  4. Tap clock out when you finish. Clokio calculates your total work hours automatically.

Work hours are always calculated on the server from the actual clock-in and clock-out moments, so the numbers in reports are consistent and tamper-resistant. Times are stored in universal time and displayed in each employee's own timezone, which keeps distributed teams accurate no matter where people work from.

GPS Geofencing

Each work location in Clokio can have a GPS geofence: a center point and an allowed radius. When an employee clocks in, the app checks that the device is inside the geofence of an approved location. This means employees can only register attendance when they are actually at the workplace. Admins configure locations and their radius under the Settings area of the web dashboard. Choose a radius that is generous enough to cover parking areas and building entrances, but tight enough to be meaningful.

Breaks

Breaks are first-class in Clokio. An employee on break has a distinct status, so the admin dashboard shows three states at a glance: present, on break, or absent. Break time is recorded alongside work time, so reports reflect real working hours.

Working Days and Shifts

Clokio understands that not every team works Monday to Friday.

Working Days per Location

Each location defines its own working days. A location in one country can work Sunday to Thursday while another works Monday to Friday. Attendance views use the location's working days to highlight non-working days correctly, so a Saturday shift in one branch is not flagged the same way as in another.

Shifts

Shifts define the expected start and end times for each day of the week. When a shift is assigned, Clokio knows when an employee is expected to be working, which powers late detection and gives the daily view its context. Configure shifts from the admin dashboard and assign them to employees based on their schedule.

Anomaly Detection

People forget to clock out. Devices lose connectivity. Clokio automatically flags suspicious attendance records so admins can review and fix them instead of discovering bad data at the end of the month. The system detects:

  • Missing checkout - an employee clocked in but never clocked out.
  • Excessive hours - a session longer than 12 hours, usually a forgotten checkout.
  • Very early check-in - a clock-in before 5:00 AM.
  • Very late checkout - a clock-out after 11:00 PM.

Flagged records appear in the anomalies review area of the dashboard, where an admin can approve a record as legitimate or correct the times. Clokio also helps prevent anomalies before they happen: employees who forget to clock out receive a push notification reminder, and admins receive a daily email summary of sessions that were left open.

The Admin Daily Attendance View

The Daily Attendance page in the web dashboard is the admin's control room for the current day. It shows:

  • Every employee with their live status: present, on break, or absent.
  • Clock-in and clock-out times for the day, shown in the relevant timezone.
  • Live timers for employees who are currently clocked in.
  • The data refreshes automatically about once a minute, so the page you leave open stays current.

From here an admin can drill into an employee's day, correct times when something went wrong, and add administrative notes. Employees can also write their own notes on their attendance days, for example to explain an unusual start time, while admin notes remain visible to admins only.

Editing and Notes

Mistakes happen, and Clokio gives admins the tools to fix them cleanly:

  1. Open the attendance record from the daily view or the attendance history.
  2. Edit the check-in or check-out time. Work hours are recalculated automatically.
  3. Add a note explaining the correction so there is always an audit trail.

Employees see their own attendance history in the app and on the web, including their own notes, but they cannot edit recorded times or see admin notes.

Notifications and Integrations

Attendance events can reach the rest of your tools in real time. Clokio's webhook system sends clock-in, clock-out, and break events to Microsoft Teams, Slack, Discord, or any HTTPS endpoint, with filtering by location, employee, department, time range, or day of the week. A manager can get a Teams message the moment their team member arrives, without opening the dashboard.

Common Questions

What happens if an employee forgets to clock out?

Clokio flags the record as a missing checkout anomaly, sends the employee a push reminder, and includes the open session in the daily admin email. The admin can then close the session with the correct time from the dashboard.

Can employees clock in from home?

Only if a location that covers their home is configured, or if your organization sets up a location policy that allows it. Geofencing checks run on every clock-in, so attendance is only registered from approved places.

Are attendance times affected by timezones?

No. Times are stored in universal time and displayed in the employee's own timezone. An employee in one country and an admin in another both see correct local times.

Can an employee edit their own attendance?

No. Employees can view their history and add personal notes to a day, but only admins can change recorded times. Every correction can carry a note, so the history stays transparent.

How is attendance different from the built-in time tracking?

Attendance answers "who was at work and when" and comes from the mobile app. Time tracking answers "what was worked on" and comes from the web timer. They are separate modules with separate reports, so timer entries never mix into attendance views.
