Before You Migrate: Know What You Are Moving

A Clockify workspace that has been in use for a couple of years typically holds four kinds of data: clients, projects (with rates and billable settings), time entries (the history), and configuration (members, tags, and workspace settings). A good migration treats each differently - and an honest migration guide tells you up front which ones move automatically and which ones you rebuild or archive. This guide does exactly that for a Clockify-to-Clokio move.

The short version: clients and projects transfer cleanly, configuration is a quick rebuild that usually takes under an hour for a small team, and deep time-entry history is best preserved as exports rather than imported - for reasons explained below.

What Clokio Is (and Why Teams Switch)

Step 1: Export Everything from Clockify

Regardless of anything else, start by getting your data out of Clockify while your subscription and access are intact:

  1. Open Clockify's reports, select the full date range of your workspace history, and export the detailed report as CSV.
  2. Repeat per year if the workspace is large - smaller files are easier to store and open later.
  3. Export your project list and client list.
  4. Store the files somewhere permanent your team controls.

These exports are your historical record. Billing questions about last March do not need the data inside your new tracker - they need a file you can open.

Step 2: Move Clients and Projects

Clients and projects are the structural data - the part worth transferring precisely, because everything new hangs off it.

The Assisted Import

Clokio has server-side tooling to import clients and projects from a Clockify workspace via the Clockify API - an administrator-run process, not a self-serve button in the dashboard. Set What Clockify Could Not

While setting up projects, configure what you gain in the move: project budgets (lifetime or monthly, with automatic alerts to the admin as a project approaches its threshold) and per-project task boards if you plan to manage work in Clokio too.

Step 3: Decide What to Do with Time-Entry History

This is the step where migration guides tend to overpromise, so here is the honest position: Clokio does not offer self-serve bulk import of Clockify time entries. Old entries carry assumptions - Clockify user IDs, tag structures, workspace settings - that rarely map one-to-one onto a new system, and imported history that is subtly wrong is worse than exports that are exactly right.

What works well in practice:

  • Pick a cutover date - the 1st of a month is ideal, since it aligns with billing periods.
  • Keep the Clockify exports from Step 1 as the authoritative record for everything before the cutover.
  • Invoice the transition month carefully: hours before the cutover are billed from the Clockify export; hours after come from Clokio's billing review.
  • If a few active projects need continuity, manually add summary entries for the current month's hours so budgets start from the right number.

Step 4: Move the Team

  1. Invite your team members to Clokio and set their roles - employees get the timer, their reports, and their own data; admins see everything.
  2. Recreate your working tags. In Clokio, tags are shared labels with colors, used by both the timer and the task module.
  3. Have everyone start their first timer on cutover day. The web timer and mobile app stay in sync in real time, so however each person tracks, the data lands in one place.
  4. Run your first weekly report in Clokio and compare the rhythm against what you knew from Clockify: same filters (client, project, team, tag), same grouping, same exports.

Step 5: Turn On What You Switched For

  • Billing review: at the end of the first full month, open the per-client review of billable hours and issue your invoice directly - the step that used to be an export.
  • Tasks: link timer entries to tasks so hours carry context. Boards, subtasks, checklists, and dependencies are already there when you want them.
  • Budget alerts: let Clokio watch project budgets daily instead of discovering overruns in the monthly report.

  1. Export full detailed reports, clients, and projects from Clockify (CSV).
  2. Create your Clokio organization and invite an admin.
  3. Move clients and projects: assisted import (contact the team with your Clockify API key and workspace ID) or manual rebuild.

Frequently Asked Questions

Can I import my Clockify time entries into Clokio?

Not as a self-serve bulk import, and this guide recommends against wanting one: historical entries are best served by the CSV exports you already made, which stay accurate forever. Clients and projects - the structure everything new depends on - are what the assisted import moves.

How long does the whole migration take?

For a team of up to ten people: exports from Clockify in under an hour, structure (assisted or manual) in an afternoon, and team onboarding on cutover day. The calendar time is usually set by choosing a clean cutover date, not by the work itself.

Do I lose my Clockify reports?

No - that is exactly what step 1 protects. Your detailed CSV exports are complete and permanent, and they open in any spreadsheet. Clokio's reports then cover everything from the cutover forward.

Does Clokio have the same billable and rate model?
