Invoicing is where tracked hours become money. Clokio's invoicing module builds on the time tracking data you already have: it shows you a client's month, lets you review and adjust before anything is committed, and then issues the document with its number, a PDF, and a secure share link. This guide walks through the monthly rhythm, the issuing flow, and the rules that keep your numbering and client records clean.

The Review-First Monthly Flow

Clokio deliberately separates looking from committing. At the start of your billing cycle:

  1. Open the Invoices section. You see your clients with their monthly activity.
  2. Click into a client's month. This opens a review page showing the live tracked hours for that client and month, computed straight from time tracking.
  3. Nothing has been created yet. Browsing a client's month leaves no draft behind, so you can review ten clients and only invoice three without cleanup.

A draft invoice comes into existence only when you act: the first edit you make, or clicking Issue, materializes the draft and takes you to the real invoice. This also keeps the record honest: the invoice's "created by" reflects who actually worked on it, not who merely looked.

Hours without a client appear in a separate "No Client" bucket. It is display-only, a prompt to go assign those hours to a project with a client before they can ever be billed.

Reviewing and Adjusting

On the invoice you can review the lines built from tracked time, adjust as needed, and confirm the totals. Because the source data is the time tracking module, discrepancies are best fixed at the source: correct the timer entries and the invoice reflects reality. When the month looks right, you are ready to issue.

Issuing an Invoice

Clokio issues the document internally: assigns the next invoice number, finalizes the invoice, and produces a PDF with a secure share link you can send to the client.

One safety rule applies on issuing: an invoice that has already been issued cannot be issued again. If it needs to change, cancel it first and reissue.

Cancelling and Reissuing

Sometimes an issued invoice is wrong: the amount, the client, the month. Clokio supports cancelling an invoice, and handles the bookkeeping subtleties for you:

  • Cancelling releases the invoice's number, so numbering stays consistent when documents are reissued. This mirrors how accounting systems recycle numbers from cancelled documents.
  • After cancelling, fix the underlying issue, then issue again. The reissued document gets its number cleanly.

Common Questions

Does opening a client's month create a draft?

No. The review page is read-only until you make an edit or click Issue. You can browse all your clients' months without leaving empty drafts behind.

What happens to hours that have no client?

They gather in a display-only "No Client" bucket on the invoices list. Assign the underlying projects to clients and the hours become billable in the next review.

Can I edit an invoice after issuing?

Issued documents are final. Cancel and reissue instead; Clokio releases the number on cancel so the replacement is issued cleanly.
