Clokio Time Tracking Guide - Timer, Projects, Billable Hours and Reports

Time tracking in Clokio answers a different question than attendance. Attendance tells you who was at work; time tracking tells you what they worked on, for which client, and whether the hours are billable. This guide covers the timer, manual entries, projects and clients, tags, budgets, and the reporting tools that turn tracked hours into decisions and invoices.
Starting the Timer
The Timer page in the web dashboard is where daily tracking happens:
- Type a short description of what you are working on.
- Pick a project from the project selector.
- Press start. A live clock begins counting, and the browser tab title shows the running time so you can see it even when you are working in another tab.
- Press stop when you switch tasks or finish. The entry is saved with its exact duration.
Your entries appear below the timer bar, grouped by week and day, and similar entries with the same description and project are grouped together so a fragmented day still reads cleanly. Hovering over an entry lets you edit its times, duration, date, or description inline, without opening a separate screen.
The timer also stays in sync across devices in real time. Start the timer on the web and it shows as running in the Clokio mobile app; stop it from your phone and the web page updates. You never end up with two competing timers.
Manual Entries
Not everything gets tracked live. Switch the timer bar to manual mode to log work after the fact: pick the date, enter start and end times, choose the project, and save. Manual mode also understands overnight work, so an entry that starts before midnight and ends after it is calculated correctly.
Editing, Duplicating and Deleting
Each entry has an actions menu. You can duplicate an entry, which is handy for recurring work, or delete it, with a confirmation step first. Admins can manage all entries; employees manage their own, and deleting entries is reserved for admins.
Projects and Clients
Tracked time gets its meaning from the project it belongs to.
- Clients represent the companies or people you work for. Create them on the Clients page.
- Projects belong to a client and carry a color, an optional hourly rate, and a billable default. Create and manage them on the Projects page.
When you track time against a project, reports can aggregate hours by project, by client, or by team member, and if the project has an hourly rate, Clokio computes the monetary value of those hours for admins.
Billable Hours
Billability works on two levels:
- Project default - each project is marked billable or non-billable, and new entries inherit that setting.
- Per-entry override - any entry can be toggled individually, so a non-billable internal meeting tracked under a billable project does not pollute your invoicing data. Toggling an entry affects only that entry, never the project's default.
Project Budgets
Projects can carry a budget in hours, in one of two shapes:
- Total budget - a lifetime cap for the whole project.
- Monthly budget - an allowance that resets at the start of each calendar month.
Budget progress is visible on the Projects page, as a badge on the Timer, and as a column in the summary report when grouping by project. When a project crosses its alert threshold, the admin receives a daily budget alert, so overruns surface while there is still time to react.
Tags
Tags add a second dimension to your data. A tag like "meetings", "support", or "development" can cut across projects. Apply tags from the tag picker on any entry; you can search existing tags or create new ones on the spot, with colors. Applying a tag on a grouped row propagates it to all the entries in that group. The same tag system is shared with Clokio's task management module, so one vocabulary serves both.
Reports
The Reports section is where tracked time becomes insight.
Summary Report
The summary report shows totals for any date range, with:
- A date range picker with shortcuts like this week, last month, or a custom span.
- Multi-select filters for team members, clients, projects, tags, and billability status.
- Grouping by project, client, or team member, with expandable rows that reveal individual entries.
- A bar chart that can toggle between billability view and per-project view, plus a doughnut chart of the distribution.
Detailed Report
The detailed report is a flat table of every entry in the range, useful for line-by-line review. Admins can edit entries directly from this view.
Exports
Both reports export to Excel, CSV, and PDF. Exports respect your active filters and convert times into the correct timezone, so what you send a client matches what you saw on screen. Exported files are also hardened against spreadsheet formula injection, a small security detail that matters when sharing files.
What Employees See
Employees have access to the timer and the reports for their own work, but financial data such as hourly rates and amounts is visible to admins only. This is enforced on the server, not just hidden in the interface.
Common Questions
What happens if I forget to stop the timer?
Open the Timer page or the mobile app and stop it; then edit the entry's end time inline to the real value. Since editing is inline and fast, cleaning up a forgotten timer takes seconds.
Can I run the timer on my phone?
Yes. The Clokio mobile app includes the timer, synchronized with the web in real time. On iOS, a running timer can also appear as a live status on the lock screen and Dynamic Island; on Android, a persistent notification shows the running timer.
Is timer data mixed with attendance data?
No. They share infrastructure but are strictly separated modules. Timer entries appear only in time tracking reports, and attendance views never include timer entries. You will never double-count someone's day because they used both.
How do billable hours turn into money?
Give the project an hourly rate and mark the relevant entries billable. The summary report then shows amounts alongside hours for admins, and the invoicing module can build a monthly invoice from the tracked hours.
Can I log time for last week?
Yes. Use manual mode, pick any past date, and enter the times. Admins can also correct any entry after the fact from the detailed report.
